Privacy policy

Last updated: October 20, 2026

This policy explains how Hania Merhi, real estate broker licensed by the OACIQ and affiliated with eXp Agence immobilière, collects, uses, protects and deletes your personal information through the website haniamerhi.ca, her forms, and her Facebook and Instagram ads. It is written to comply with Québec’s Act respecting the protection of personal information in the private sector (Law 25).

eXp Agence immobilière: as my agency, eXp also processes information related to brokerage services and real estate transactions, under its own privacy notice (contact: privacy@expworldholdings.com). This page covers what eXp’s notice does not: my website, my forms, my Facebook and Instagram ads and my client file.

Person in charge of the protection of personal information: Hania Merhi — info@haniamerhi.ca — 514-993-4976

1. Information we collect

  • Information you give us through the contact, home estimation, real estate alert and personalized analysis forms, by email, phone or text: name, email, phone number, language, address of a property, budget, project, timeline and message.
  • Facebook and Instagram ad forms (lead ads): when you fill out one of our forms on Facebook or Instagram, Meta sends us the answers you entered (usually name, email, phone and your answers to the questions), plus the date, the ad and the form used.
  • Tools on the site: the addresses you enter in the commute-time tool are sent to Google to calculate the route. The calculators work in your browser and are not saved unless you send a request.
  • Cookies: cookies necessary for the site to work and, only if you accept, Google Analytics cookies to measure site usage. The Google map on city guides loads only when you click on it. Google Analytics is off by default; you can withdraw your consent at any time with the “Manage cookies” link at the bottom of the site.
  • Visit counter: the site counts page views. It does not keep your IP address: it only notes the approximate city deduced from it at the time of the visit (database “IP to City Lite” by DB-IP), a pseudonymous fingerprint (scrambled, cannot be linked back to your IP address) that changes every day, the page viewed, the site you came from, the type of device, the site language and your browser language. A small signal sent by the page is used only to tell people from bots. Only if you accept analytics cookies, a random identifier (cookie “hm_vid”, 13 months) lets us know whether you are a new or returning visitor; it is deleted if you refuse or withdraw your consent. This data is kept for 13 months.

2. Why we use it

Only to answer your request and support you in your real estate project: contacting you, sending you properties that match your search, preparing an estimation or an analysis, following up, and meeting our legal and professional obligations. We do not sell or rent your information, and we make no decisions based solely on automated processing.

3. Who has access and where it is kept

Your information is kept in a private client management system (CRM) on a secure server, protected by a password and a verification code. Only Hania Merhi and the people who need it to do their work have access. Some service providers process information on our behalf: our host (DigitalOcean), Google (email, maps, Analytics), Microsoft (email notices of new requests), Meta (Facebook and Instagram forms), Calendly (appointments) and ntfy (a notice on my phone of a new request, showing only the first name and initial). The listings site proprietes.haniamerhi.ca is hosted by Marketing Websites, an eXp supplier; requests sent from that site are handled by eXp and forwarded to Hania Merhi. Some of them may store or process information outside Québec, notably in the United States; we use them only to provide the services described here. When a real estate transaction is underway, information required by law is shared with the people involved (agency, notary, lender, other broker) and kept according to OACIQ rules; eXp Agence immobilière also applies its own privacy policy.

4. How long we keep it

As long as needed for our business relationship and for the legal retention periods that apply to real estate brokerage. You may ask us at any time to stop contacting you or to delete your information (see section 6). Once the purposes for which it was collected are achieved, it is destroyed or anonymized, subject to the retention periods required by law.

5. Security

Encrypted connection (HTTPS), two-step verification to access the CRM, automatic logout, daily backups with restricted access, and a history of changes. If a confidentiality incident presents a risk of serious injury, we will notify the people concerned and the Commission d’accès à l’information, as required by law.

6. Your rights and deleting your data

You can ask to access your information, to correct it, to withdraw your consent, to have it deleted (including information received through Facebook or Instagram), to receive the computerized information you gave us in a structured, commonly used technological format or have it sent to a person or organization of your choice, or to have the dissemination of information about you stopped or a hyperlink attached to your name de-indexed, under the conditions provided by law. To do so, write to info@haniamerhi.ca with the subject “Delete my data” and the name, email or phone number you used. We reply within 30 days. Information that the law requires us to keep (for example, a brokerage file) will be kept only for the required period. Deletion applies to our systems; data kept by Meta is governed by Meta’s privacy policy.

7. Complaints

Any complaint about your personal information can be sent to the person in charge named above, who acknowledges it and replies in writing within 30 days. If you are not satisfied with the answer, you can contact the Commission d’accès à l’information du Québec.

8. Changes

We may update this policy. The date at the top shows the latest version.
